1. SCOPE OF APPLICATION

This Privacy Statement is applicable to the processing of the personal data of AkzoNobel employees who drive/ride their personal/official cars or motor cycles or cars for company business.

2. DATA CONTROLLER

AkzoNobel is the controller for the processing of personal data of AkzoNobel employees who drive/ride their personal/official cars or motor cycles or cars for company business.

3. PROCESSING DATA

3.1 For what purpose do we process your personal data?

We use your personal data for a number of different purposes. You will find an overview of the types of personal data we process,  the purposes for which we process and the legal bases of our use of your personal data below.

          (a) Safe Driving/Riding

(i) What does this purpose entail?

We will process your personal data to ensure that our employees are driving/Riding safely during working hours. Employee data would be used only for record purpose and for checking that the vehicles used by the employees are in compliance with the AkzoNobel Minimum Safety Requirements. The employees will get a personalised alert for renewing their vehicle documents through system auto generated mails.

AkzoNobel ensures that the collected data are not used for illegitimate further processing.

Employees add their personal/official vehicle details on the portal. AkzoNobel Uses this information for report generation and to ensure compliances with minimum Safety Requirements as per AkzoNobel Norms.

(ii) Which personal information do we process for this purpose?

For this purpose, we process your name, business contact data, employee ID number, and other family and vehicle details( Photos/insurance/licence/PUC Etc)

(iii) What is the legal basis for processing?

We process this information on the basis of our legitimate business purposes. To support our ambition of zero injuries, we monitor our employees to make sure that they drive safely when they drive motor cycles or cars for company business.

4. ACCESS TO DATA

4.1 Authorised employees only. Only authorised AkzoNobel employees who will be bound to confidentiality will have access to your personal data and process your personal data only on a need–to-know basis to the extent required to perform the purposes as set out above.

4.2 External parties. We may also use third-party service providers to perform certain data processing activities on our behalf, such as information technology and related infrastructure provision, security (including identity and access management) services, and legal, financial/accounting and other similar services.

4.3 Legal obligation to disclose. Only if we are required to do so by law, this personal data will be provided to supervisory agencies, fiscal authorities or investigative agencies.

5. STORING PERSONAL DATA

5.1 Storage location. The personal data will be stored on Geotrackers/Invictus servers

6. SECURITY PERSONAL DATA

Your personal data are treated confidentially, and we have taken technical and organizational security measures against loss or unlawful processing of this data. We use several security techniques including secure servers, firewalls and encryption, as well as physical safeguard of the locations where the data are stored.

We will retain your personal information for the period necessary to fulfil the purposes outlined in this Statement, for a minimum period of one year, unless a longer retention period is required or permitted by applicable law.

8. RIGHTS REGARDING PERSONAL DATA

In addition to that you may at any time withdraw the consent that you gave to using your personal data.
